Intercompany receivable and payable accounts with the Eliminate Intercompany Transactions flag checked cannot be touched by regular journal entries. NetSuite blocks posting to those accounts once the flag is set, which means historic balances booked with simple journals can only be reversed with Advanced Intercompany Journal Entries. That restriction is intentional from an audit perspective: it forces all activity on elimination-flagged accounts to carry the Eliminate flag on the line, so consolidation entries are generated correctly.
Why regular journals are blocked on elimination-flagged accounts
The control lives on the account record. Go to Accounting > Chart of Accounts, open the intercompany receivable or payable account, and check the box Eliminate Intercompany Transactions. When that box is checked, NetSuite treats the account as part of the intercompany elimination scope.
The Oracle documentation is explicit on this behavior: regular journal entries used for intercompany transaction activity do not automatically balance lines to be eliminated. Out of balance transactions are automatically rejected.
In practice, once the flag is on, attempting to create a standard journal on Transactions > Financial > Make Journal Entries (Administrator) against that account will be rejected or the line will be forced to carry intercompany attributes. You cannot uncheck the flag on the account without a change request and a period lock review, and even then historic entries remain.
If an account is marked for elimination, NetSuite will only allow intercompany-aware transactions to post to it. That is the safeguard that keeps your trial balance clean at consolidation.
Navigation across the UI for these checks follows the standard NetSuite layout and menus described in the NetSuite Basics Guide.
The scenario that creates a dead end
The common pattern is historic manual entries. Teams booked intercompany receivables and payables with simple journals across multiple subsidiaries and currencies, then later enabled Eliminate Intercompany Transactions on the accounts. Now accounting wants to clear everything and rebook correctly as Advanced Intercompany Journals.
The problem is twofold. First, you cannot post a reversing simple journal to zero the account. Second, an Advanced Intercompany Journal Entry posts to both subsidiaries in one transaction and is currency-aware per subsidiary, so you cannot clear an old USD balance between Subsidiary A and Subsidiary B with a single AICJE that also contains a GBP balance between Subsidiary A and Subsidiary C.
Clearing with Advanced Intercompany Journal Entries
The only supported way to move balances on elimination-flagged accounts is Transactions > Financial > Make Advanced Intercompany Journal Entries.
A practical clearing workflow is:
- Create one AICJE per subsidiary pair and per currency.
- Set the posting date in an open period for both subsidiaries. The period must be open under Setup > Accounting > Accounting Periods.
- On the header, select the source subsidiary and the destination subsidiary. NetSuite will create the mirror lines automatically.
- On each line, select the intercompany receivable or payable account that is flagged for elimination. NetSuite will automatically set Eliminate on the line to Yes. Do not override it.
- Enter the amount to clear the net balance for that pair. If the original historic balance was a debit in Subsidiary A and a credit in Subsidiary B, the AICJE will reverse it by posting equal and opposite amounts to both sides.
- Save and submit for approval if you have an approval workflow enabled.
Because AICJE posts to both sides simultaneously, the entry balances at the intercompany level and the Eliminate flag propagates to the consolidation elimination process. Do not use a standard intercompany journal for this; the standard version does not enforce the elimination flag consistently on both sides.
Handling mixed currencies
When the historic balances are in mixed currencies per pair, you must split the clearing. Create separate AICJEs for each currency. NetSuite will revalue only if you allow it on the header; for a pure clearing entry, use the original transaction currency for each line and post on the same date to avoid FX variance.
If you need to see what remains, run a custom saved search on the intercompany accounts:
- Type: Transaction
- Criteria: Account is 1300 Intercompany Receivable, Main Line is true, Subsidiary is not empty, Eliminate is true
- Summary: Sum of Amount by Subsidiary and Currency
This shows the net exposure per pair per currency that still needs clearing. Working with these transaction-level searches follows the general transaction model described in the NetSuite Basics Guide.
Using the elimination process to verify the fix
After clearing, the Eliminate Intercompany Transactions process should produce zero net balances for those accounts in the consolidation. Run the elimination process.
Select the elimination entity, the period, and the account range. The report will list journal entry numbers created for the elimination run. If balances remain, the search above will point to a pair or currency you missed.
Before posting any clearing entries, confirm the lock date under Setup > Company > General Preferences. Do not post clearing entries into a locked period. Also validate that the intercompany account is mapped correctly in the relevant intercompany rules. A mismatch there will cause the AICJE to post to the wrong offset account.
From an audit perspective, keep a memo on each clearing AICJE explaining that it reverses historic simple journals booked prior to the elimination flag being enforced. Your auditors will thank you for the clear audit trail rather than a series of unexplained manual journals.
If you are still seeing residual balances after elimination, check for non-intercompany-aware transactions that hit the account before the flag was enabled. Those need to be reclassified first, then cleared with AICJE.
